Payroll

The Payroll module computes and generates your employees payslips from their contract, attendance and your country payroll rules, then prepares payment and the accounting entry.

Payroll dashboard

Under "Contract & Payroll › Payroll run", the Dashboard tab gives an overview of the period: payroll cost, number of payslips generated, contributions and net pay.

How to

  1. Go to Contract & Payroll › Payroll run, then open the Dashboard tab.
  2. Choose the month and the year of the period you want to review.
  3. Review the indicators: total employer cost, total net paid, paid headcount and outstanding advances.
  4. Browse the By department and Cost per month breakdowns to gauge the payroll burden.

Run: generate payslips

The Run tab lets you compute and generate an employee payslip for a given month, or all employees at once.

Generate a payslip

  1. Pick the employee, the month and the year.
  2. Adjust the payroll decisions (see below) to match the month.
  3. Click Preview to review the full calculation (base salary, bonuses, contributions, deductions, net pay) without saving anything.
  4. Click Generate payslip to save it, or Generate for all employees to process the whole company (already-created payslips are skipped).
  5. The generated payslip appears in the Payslips tab and can be downloaded as PDF.

Payroll decisions

Pay the full month: pays the entire month without prorating absence days.
Include overtime: adds tracked overtime hours, uplifted according to the rate.
Deduct unpaid leave: removes unpaid leave days from the salary.
Deduct unjustified absences: withholds unjustified absence days.
Apply late penalty: applies a deduction for lateness recorded at clock-in.
The calculation relies on the employee active contract, the month attendance and your country payroll rule pack. A validated payslip is locked: it cannot be regenerated until it is cancelled.

Payslips & employee space

The Payslips tab lists every generated payslip with its status, and lets you view and download them.

PDF download: each payslip can be exported as PDF (breakdown of components, contributions and net pay).
Employee space: from "My payslips", each employee views and downloads their own payslips in self-service.
Amounts are shown in the company currency, with the right number of decimals (3 for the dinar, 2 for the euro or dollar, etc.).

How to

  1. Go to Contract & Payroll › Payroll run, then open the Payslips tab.
  2. Locate the payslip you need by its employee, period and status.
  3. Open the row's Actions menu then click Download PDF to export the payslip.
  4. On the employee side, each employee finds and downloads their own payslips from My payslips.

Advances & loans

The Advances & loans tab lets you grant a salary advance or a loan to an employee, repaid automatically on their next payslips.

  1. Click New advance, choose the employee and the type (advance or loan).
  2. Enter the total amount and the number of instalments; the monthly withholding is computed automatically.
  3. On each payroll, one instalment is automatically deducted from the net until full repayment.
The remaining balance is tracked for each advance and decreases with every generated payslip.

Configuration: components, contributions & brackets

Under "Customization › Payroll configuration", you adapt the calculation rules to your company. Iberis provides a base pack per country that you can override.

Salary components: bonuses, allowances and deductions that make up the payslip.
Social contributions: employee and employer shares (CNSS, etc.), with their rates and caps.
Tax brackets: income-tax brackets applied in the calculation.
Payroll structures: the set of rules applied depending on the contract type.
Rules defined at company level take precedence over the country pack for the same code. Any change applies to payslips generated afterwards.

How to

  1. Go to Customization › Payroll configuration.
  2. Choose the payroll structure to adapt, according to the relevant contract type.
  3. Edit the salary items, the social contributions and the tax brackets to align them with your company.
  4. Save: the new rules apply to payslips generated afterwards, without affecting already validated payslips.

Payment & accounting

Once payslips are generated, the salary payment records the settlement and creates the matching accounting entry in Iberis Finance.

The net pay is posted to the journal, along with any bank fees. Amounts follow the company currency precision. Payment requires the company to be synced with Iberis Finance (accounting configured).

How to

  1. Go to Contract & Payroll › Payroll run, then open the Payslips tab.
  2. Tick the payslips to settle; only unpaid payslips can be selected.
  3. Click Pay, then enter the pay date and any bank fees.
  4. Confirm: the net payable is recorded as settled and the accounting entry is generated in Iberis Finance.
